If your firm has a large client base, bulk importing your client data is the fastest and most efficient way to get started with Firmcheck.
📥 To begin, download the templates below and copy your client information into the relevant one; use the Sole Trader template for sole traders, the Trust template for trusts, and so on.
Each template includes headers to guide you. Fields marked with an asterisk (*) are required.
Once your data is entered, save each file as a CSV - you’ll typically find this option under “Save As” or “Download” settings.
Bulk import templates
Once you've added your data to the templates and saved them as CSV files, you're ready to import them into Firmcheck.
Follow the steps below to complete the import process.
‼️ Before Importing:
Make sure that all Business Units, Partners, and Managers have been set up in Firmcheck and exactly match the names used in your import file.
For example, if your import file lists Sophie Maxwell as a Partner, but Sophie Maxwell hasn’t been added as a partner in Firmcheck yet, the import will fail because the system won’t be able to match the data.

How to Bulk Import Clients
Go to the Clients tab and click the three vertical dots next to “Add client.”
2. Select Bulk import clients, then choose whether you want to upload Companies, Individuals, Trusts, or Sole Traders.
We recommend importing limited companies first, as this can reduce duplicates with UKCH.
3. Click the Upload [Entity] Client Template button (e.g. Upload Sole Trader Template) and upload the completed CSV file.
4. Review your data.
If there are any issues, errors will be highlighted with details on what needs to be fixed. You’ll have the chance to make corrections before completing the import in the next step.
5. Once you're happy with the data, go ahead and complete the import. Your clients will then appear in the "Client" tab, ready for you to start completing their CDD!
After attempting import, Firmcheck may flag yellow or red warnings on your data.
How to Read and Resolve Import Warnings and Errors
Spending just a couple of minutes double-checking your CSV file before uploading can save you time fixing common issues later. Here’s a quick pre-import checklist:
✅ Date of birth format: Make sure all dates follow the format: dd/mm/yyyy
✅ Required fields are complete: Ensure fields like Company Number and Individual Names are filled in (columns with a * are required fields)
✅ Full country names: Use the full country name (e.g. "United Kingdom"), not abbreviations like "UK" or regions like "England" if address has been added
✅ Business units and staff are set up – Confirm that all Business Units, Partners, and Managers have already been added in Firmcheck
