The FYI integration links your FYI client list to Firmcheck, so you don't have to add clients in two places. Once it's connected, new clients added in FYI appear in Firmcheck automatically, and each client's AML status is written back into FYI so your team can see it without leaving your practice management system.
The FYI/Firmcheck integration is currently available to a beta group. Please contact our team if you would like early access.
You'll need to be an administrator in both your FYI and Firmcheck accounts. Other roles can't see or change integration settings.
Set up the Firmcheck custom fields in FYI. Firmcheck writes AML information into five custom fields on your FYI client records, and it can't create those fields for you. Set them up inside FYI before you begin.

Risk level and both dates only get a value once a client has a completed AML. Until then Firmcheck writes them as blank, so don't use those three fields in FYI for anything else.
You'll also need three things from FYI: your region, an access key, and a secret key ID.
In Firmcheck, go to Settings β Firm β Integrations and select Connect on the FYI card. Setup runs in four steps.
Enter your Region, Access key and Secret key ID, then select Connect. Firmcheck checks the credentials against FYI straight away and confirms all five custom fields are there. Nothing is imported at this stage and the integration isn't switched on yet.
FYI describes clients using business structures; Firmcheck uses client types. This step translates between them. We start you with defaults: individual β Individual, sole trader β Sole trader, company β Company, trust β Trust, charity β Non-profit.
Add your own with Add structure. Several FYI structures can map to the same Firmcheck type, which helps if your firm uses variations like "limited company" and "ltd company". Matching ignores capitalisation but is otherwise exact, so the text needs to match what's in FYI.
It's worth getting this right. When a record's business structure isn't in your mapping, Firmcheck guesses from the record itself:
If it has a company number, it becomes a Company
Otherwise, if it has both a first and last name, it becomes an Individual
Only if neither applies does it become Other
So the "Everything else" row is a catch-all for records that don't look like a company or a person, not for every unmapped structure. A trust you haven't mapped will be created as a Company if it happens to carry a company number.
Firmcheck fetches your FYI clients and compares them against what's already in Firmcheck. Larger firms may wait a minute or two. You'll then see a preview across four tabs β nothing has been saved at this point, so you can still back out.
New in Firmcheck β no match found. A new client will be created.
Client match found β an existing Firmcheck client matches. It'll be linked, not duplicated.
Non-client match found β the person or organisation already exists in Firmcheck but isn't a client. They'll be promoted to one.
Skipped β nothing will happen. Usually because the record is already linked, or it doesn't have enough information to make a valid client (an individual with no surname, for example).
Some new UK companies get a fuller import. Where a record has no match in Firmcheck, is mapped to the Company type, and has a company number we can find at Companies House, we pull the company's officers and related parties from Companies House rather than relying on the sparser FYI record. These show as Import from Companies House. Companies that match an existing Firmcheck record are linked as-is and don't get this enrichment.
A summary of what's about to happen. Select Confirm and import to run it. This is the point the integration switches on.
When it finishes you'll see how many clients were linked and how many were created. The "created" figure includes clients promoted from an existing person or organisation, so it won't split out the same way as the confirmation screen. If any records failed outright you'll see a note saying how many β the rest still import, so one bad record doesn't stop the others.
For organisations, we match on Companies House number first β but only for records mapped to the Company type. Everything else, and any company without a number, is matched on name alone. Name matching ignores capitalisation but is otherwise exact.
For individuals and sole traders, first and last name must match (again ignoring capitalisation), plus one of:
a matching email address β this one is case-sensitive
a matching date of birth
for sole traders, a trading name matching the FYI display name
A date of birth that conflicts rules out the match even if the email matches. Where two records could both match, we pick the oldest one.
You can't change a match from the review screen. If one looks wrong, cancel the setup, correct the underlying data in Firmcheck or FYI, then start again and select Fetch clients again.
New FYI clients arrive automatically. Firmcheck syncs once a night, at 4am UTC, picking up anything added in FYI since the last successful sync. New clients are created or linked using the same matching rules as the initial import.
There's no manual sync button. If you need a client in Firmcheck before the next sync you can add it there directly β but for it to link rather than duplicate, it needs to satisfy the matching rules above. For an individual that means entering the email address or date of birth exactly as they appear in FYI, not just the name. A name on its own won't match and you'll end up with two records.
AML information flows back to FYI when:
an AML is started (status becomes In progress)
an AML is completed (status, risk level, last completed date and next review date all update)
a client is first linked or created by a sync
Some changes don't trigger an update, and FYI will show stale values until one of the events above happens: deleting an in-progress AML (FYI keeps showing In progress), editing a client's next AML due date by hand, and off-boarding or freezing a client.
If one Firmcheck client is linked to more than one FYI record, all of them are updated.
Firmcheck never creates or edits clients in FYI. Only the five custom fields are ever written back.
Changes to a client already linked in FYI don't reach Firmcheck. Once a client is linked, a name correction, a new email address or a changed business structure in FYI won't flow through. Update linked clients in Firmcheck directly. (Records that aren't yet linked are re-checked every night, so fixing incomplete data in FYI does help those.)
Deleting or archiving a client in FYI doesn't remove it from Firmcheck. You'll need to remove it in Firmcheck as well.
Addresses don't sync, and neither do partner or manager assignments.
Related parties come from Companies House, not FYI.
Only FYI records flagged as clients are pulled in. Contacts, prospects and suppliers are ignored.
Go to Settings β Firm β Integrations and select Manage integration on the FYI card.
You can update your region and access key here. The secret key ID field is always blank for security β leave it blank to keep the existing secret, or type a new one to replace it. Selecting Continue re-checks the credentials against FYI before saving. The next screen lets you adjust your client type mapping; select Save changes when you're done.
Changing settings doesn't trigger a sync. Your changes take effect on the next nightly run.
On the manage screen, select Disable integration. This takes effect immediately, with no confirmation step. Nightly syncs stop and AML updates stop being written to FYI, but clients already imported stay in Firmcheck untouched, and custom field values already written in FYI stay as they are.
Turning it back on runs the full setup again. You'll need your region, access key and secret key ID to hand β all three must be re-entered. Your client type mapping is remembered.
The review screen will show a full pull of every client in FYI, not just new ones, so expect the Skipped count to be large. That's normal β everything previously imported is already linked, so it's skipped rather than duplicated. Nothing will be created twice.
We couldn't reach FYI, or the credentials were rejected. Check all three values β including the region, which this message doesn't mention but is a common cause. An incorrect region points Firmcheck at the wrong FYI server and produces this same error.
One or more of the five Firmcheck custom fields don't exist in your FYI account. The message lists exactly which. Create them via the Firmcheck app in FYI β names must match exactly β then try again.
Firmcheck stops waiting after five minutes, but the job often carries on in the background. Before selecting Try again, give it a few minutes and check your client list to see whether the clients arrived. Retrying immediately can cancel a run that was about to finish.
If you retry an import that had already completed, you may see "This import is no longer awaiting review." That means the import went through β check your client list, and the FYI card in Settings should now read Enabled.
Setup was started in more than one place β another browser tab, or another administrator working at the same time. Only the most recent attempt survives. Close the extra tabs and run it once.
"An import is already in progress." - a sync is running. Wait for it to finish.
"Connect your FYI account before importing." - the connection step didn't complete. Go back to step 1 and re-enter your credentials.
"FYI is already connected for this firm." - the integration was connected in another session or tab. Return to Settings and select Manage integration.
"Something went wrong while saving the integration. Please try again." - an unexpected error. If it happens twice, get in touch with us.
The two usual causes are that the record was already linked to Firmcheck, or that it didn't have enough information to become a valid client β most often an individual missing a first or last name. Fill in the missing details in FYI and they'll be picked up on the next nightly sync.
Firmcheck doesn't currently notify you if a nightly sync fails, and there's no sync status shown in the app. If clients you added in FYI haven't appeared in your client list, reach out to Firmcheck Support and we can check the sync logs for your firm.
Your FYI secret key is encrypted at rest and never sent back to your browser, which is why the field appears blank when you edit your connection. Firmcheck only requests the access it needs: reading your client list, and writing the five custom fields.
